Multi-tenant SaaS for estate agencies: their own site on their own domain, a CRM with pipelines, a property portfolio on the map, deals, digitally signed contracts, finance and a service hub.

01The problem

An estate agency keeps its property portfolio, its client service, its pipeline, its paperwork and its presence online in different places. The system closes that loop in a single panel: a registered property appears on the agency's own site, whoever arrives through the site becomes a lead in the CRM, the lead becomes a deal, and the deal produces the signed contract and the calculated commission.

02The decision

Each agency brings its own brand, domain and team, and builds its own site by switching sections on and reordering them inside the same panel where it registers properties. An agency that configures nothing still has a site online, not a blank page. And what each person sees is set by their role: owner and manager see the whole operation, an agent sees what is theirs.

03The outcome

In production, with the agency's site live on its own domain, plus the service hub and an AI assistant that qualifies leads on WhatsApp and Instagram.

  • The agency's website

    The agency builds its own website inside the panel. The screen lists the sections, and it switches them on, off and drags them into order: header, search band, about us, featured properties, awards, branches and footer. Awards and branches only show up if the agency wants them, and each branch carries address, phone, WhatsApp, opening hours and social networks. Whoever never configured anything is not left with a blank screen: a minimal site comes out with logo, colour, search and the properties in the portfolio.

  • Domain, brand and SEO

    The agency picks a subdomain or connects its own domain, which only goes live after a verification. Next to it sit the identity and the SEO: name, main colour, palette, logo, icon mark, meta tags, sharing image and favicon. That is what makes the site look like the agency in search results and on WhatsApp, without depending on anyone from tech.

  • Portal with map

    On the agency's own domain, the search opens with a map, marker clustering, a list and filters, and on the phone it switches between map and list. The visitor sends an enquiry and it lands as a lead in the CRM with the right source already attached. The portal also shows properties from partner agencies, so the shop window is bigger than the agency's own portfolio.

  • Property portfolio

    Registering a property is a step by step wizard: identification, location with a pin on the map, rooms, prices, features, admin data and media with photos, floor plans and video. The list searches by title, neighbourhood, city or code and filters by sale, rental and holiday let. Each property keeps documents, notes and history.

  • CRM with funnels

    The agency creates several funnels, and the kanban drags the lead from stage to stage, with filters by broker, source, category and tag. The lead record has main, properties and history, splitting interested, discarded and owner, and inside it the interest profile looks for matching properties, including by region on the map and radius. There is also spreadsheet import, tasks, stars and automations per stage.

  • Deals

    Each deal opens on a screen with four tabs: main, pending items, finance and documents. The proposal is built with the buyers and each one's share, and turns into a public link with an expiry date that the client opens without logging into the system. The pending items follow the process to the end, and a deal already closed can be reopened.

  • Contracts and signature

    Contract templates are written in a text editor, with a panel of variables that drops the data coming from the system into the text. From the deal, the agency picks the signers, the variables are filled in, the PDF is generated and goes out for signature. Whoever signs gets a link and signs without needing an account.

  • Finance

    The money is split into sectors, each with its own accounts. The screen opens on the statement for the month, and an entry goes in with category, due date, instalments, recurrence and the receipt attached. What repeats every month is registered only once.

  • Calendar

    The team's activities live in a calendar with date, time, type and status, plus search and sorting. The activity dialog ties each appointment to a property, a lead, a partner and an owner, so a viewing is never loose from who asked for it and what is being visited.

  • Keys

    An inventory of the physical keys of each property, with code and keeper. Lending and returning record the date and the purpose, and each key keeps the history of who took it.

  • Partners and shared properties

    A register of partners and construction companies with each one's documents, split into two tabs: the agency's own partners and the ones that already come with the system. As a feature, two agencies negotiate the same property, with approval from both sides.

  • Dashboard, teams and permissions

    There are two dashboards: the personal one, with what belongs to the person, and the agency one, with revenue, spending, commissions, total sales value and active properties. Settings hold the users and the roles that define what each one sees, and the audit trail shows who changed what, with a filter.

  • Installable app and notifications

    The panel installs as an app on the phone, offered on the screen itself when the person opens it from a phone. The bell splits what arrives into calendar, deals, CRM and finance, and the alert shows up at once, with nobody having to keep reloading the page.

  • Service hub

    WhatsApp and Instagram in the same inbox, with the CRM record open next to the conversation, so whoever answers sees who is on the other side. There are quick replies, distribution of conversations per channel and a service dashboard. As features, approved message templates, campaigns and a public API for the client to plug in their own system.

  • AI assistant

    An AI assistant answers on WhatsApp and Instagram, qualifies the lead, keeps the interest profile, searches for property by region, price and features, sends photos and links, records the property as an interest in the CRM and hands over to a person when the subject leaves the script. It is live at one agency, not at all of them.

  • Product administration

    A separate area for whoever runs the product, away from the agency's day to day. It holds usage metrics, trial requests, support tickets, privacy requests and partner property developers.
